💼 Internal Sales Assistant

Our client is seeking a proactive, customer-focused, and detail-oriented Internal Sales Assistant to join their Johannesburg office. This role is central to ensuring exceptional customer service, accurate order processing, and strong internal sales support while contributing to business growth and client retention.

📍 Location: JHB Offices – Spartan, Kempton Park (Full-time in office)
💰 Salary: ± R20,000 CTC per month + Commission (CTC includes Medical Aid and Pension)
🕰️ Werksure: 07:45 – 16:30 (Monday–Thursday) | 07:45 – 15:00 (Friday)

Key Responsibilities:

Internal Sales & Business Development:
· Develop sales within existing customer accounts by communicating product offerings, promotions, and delivering superior customer service.
· Identify new sales opportunities within existing accounts and new potential clients.
· Build strong internal relationships with distributors and support the External Sales Team by arranging appointments where applicable.
· Supply samples, literature, and quotations to customers.
· Conduct outgoing calls and professionally manage incoming calls.
· Promote and offer the full basket of company products.

Processing Customer Orders:
· Accurately receive, log, and process all incoming orders through internal systems.
· Prepare detailed quotations, including availability, pricing, and delivery forecasts.
· Maintain stock awareness and apply FIFO principles where applicable.
· Raise necessary documentation and amend orders when required.
· Complete daily order confirmations.

Effective Customer Service & Account Liaison:
· Provide professional customer liaison regarding dispatch dates and lead times.
· Liaise with Sales, Procurement, Logistics, Production, Warehouse, and Accounts departments to optimise customer experience.
· Manage returns, invoice queries, pro-forma invoices, credit card payments, and account queries.
· Proactively update customers regarding delays, issues, or order status.

Complaint Resolution & Feedback:
· Record and manage customer complaints, ensuring corrective and preventative actions are implemented.
· Maintain reliable customer feedback through proactive communication.

Administration & Support:
· Provide administrative support to the external sales team.
· Manage pricelists as instructed by the Sales Manager.
· Ensure professional, polite, and efficient communication at all times.
· Contribute positively to team morale and departmental efficiency.

Quality, Safety & Compliance:
· Ensure full compliance with Health & Safety policies and company procedures.
· Adhere to quality and environmental standards (ISO9001, IATF:16949, ISO14001).

Job Requirements:
· Minimum of 3 years’ Internal Sales experience.
· Strong administrative skills.
· Sales-minded with a results-driven approach.
· Experience in MS Office (Word, Excel, PowerPoint).
· Experience using MS Outlook.
· Experience using business online platforms such as LinkedIn and WhatsApp for Business.

Hoof Verantwoordelikhede:

Interne Verkope & Besigheidsontwikkeling:
· Ontwikkel verkope binne bestaande kliënte deur produk-aanbiedinge en promosies te kommunikeer en uitstekende kliëntediens te lewer.
· Identifiseer nuwe verkoopsgeleenthede by bestaande en nuwe potensiële kliënte.
· Bou sterk interne verhoudings met verspreiders en ondersteun die Eksterne Verkoopspan.
· Verskaf monsters, literatuur en kwotasies aan kliënte.
· Hanteer uitgaande en inkomende oproepe professioneel.
· Bevorder die volledige produkmandjie van die maatskappy.

Verwerking van Bestellings:
· Ontvang, registreer en verwerk inkomende bestellings akkuraat.
· Berei gedetailleerde kwotasies voor met beskikbaarheid, pryse en afleweringsvoorspellings.
· Handhaaf voorraadbewustheid en pas FIFO-beginsels toe.
· Voltooi daaglikse bestelbevestigings en nodige dokumentasie.

Kliëntediens & Rekening-skakeling:
· Verskaf professionele terugvoer oor versendingsdatums en leitye.
· Skakel met interne departemente om optimale kliëntervaring te verseker.
· Hanteer terugsendings, faktuurnavrae, pro-forma fakture en betalings.
· Hou kliënte proaktief op hoogte van enige vertragings of probleme.

Klagtehantering & Terugvoer:
· Registreer en hanteer klagtes en implementeer regstellende aksies.
· Verseker betroubare kliëntterugvoer deur deurlopende kommunikasie.

Administrasie & Ondersteuning:
· Verskaf administratiewe ondersteuning aan die eksterne verkoopspan.
· Bestuur pryslyste volgens instruksies.
· Handhaaf professionele kommunikasie en spanwerk.

Kwaliteit, Veiligheid & Nakoming:
· Volledige nakoming van gesondheid- en veiligheidsbeleide.
· Nakoming van kwaliteit- en omgewingsprosedures (ISO9001, IATF:16949, ISO14001).
