Office Assistant & Bookkeeper (Half-Day)
Our client, a structural and civil consulting engineering firm with around 22 employees, is looking for a hands-on and reliable Office Administrator / Assistant & Bookkeeper to ensure smooth office operations and provide financial and administrative support. The ideal candidate will be detail-oriented, disciplined, and proactive, with strong people skills and a professional presence.
📍 Location: Lynnwood, Pretoria
💰 Salary: R20,000 – R25,000 per month + 13th Cheque
📈 Available Positions: 1
📅 Start Date: As soon as possible
⏰ Working Hours: 08:00 – 13:00 (Half-day position, Monday to Friday)
About the Company
The company operates in a non-corporate, practical environment, working closely with structural engineers. They value discipline, confidentiality, and professionalism, while maintaining strong client-facing relationships.
Key Responsibilities
Administrative / Office Support:
Answer and direct phone calls, emails, and correspondence.
Maintain office supplies and coordinate office equipment maintenance.
Organize and maintain filing systems (physical and digital).
Schedule meetings, appointments, and manage calendars.
Welcome and assist clients, visitors, and suppliers.
Provide support to office staff and assist with various administrative tasks.
Bookkeeping / Financial Support:
Record daily financial transactions using accounting software (Sage Accounting).
Process accounts payable and receivable.
Reconcile bank statements and resolve financial discrepancies.
Assist with payroll processing and collection of timecards (Sage Payroll).
Generate financial reports as required (monthly, quarterly, annually).
Maintain accurate financial records and documentation for audits.
Requirements
Matric certificate
±3 years’ administrative or bookkeeping experience.
Proficiency in Microsoft Office (Word, Excel, Outlook).
Experience with Sage Accounting and Sage Payroll.
Strong organizational skills, reliability, and attention to detail.
Excellent verbal and written communication in Afrikaans and English.
Professional appearance

Hoofverantwoordelikhede
Administratiewe / Kantoorondersteuning:
Beantwoord en lei telefoongeselskap, e-pos en ander korrespondensie.
Handhaaf kantoorvoorrade en koördineer die instandhouding van kantoorapparatuur.
Organiseer en handhaaf lêerstelsels (fisies en digitaal).
Skeduleer vergaderings, afsprake en bestuur kalenders.
Groet en help kliënte, besoekers en verskaffers.
Ondersteun kantoorpersoneel en help met verskeie administratiewe take.
Boekhouding / Finansiële Ondersteuning:
Registreer daaglikse finansiële transaksies met behulp van rekeningkundige sagteware (Sage Accounting).
Verwerk betaalbare en ontvangbare rekeninge.
Rekonsilieer bankstate en finansiële diskrepansies.
Help met salarisverwerking en die versameling van tydkaarte (Sage Payroll).
Genereer finansiële verslae soos benodig (maandeliks, kwartaalliks, jaarliks).
Handhaaf akkurate finansiële rekords en dokumentasie vir oudits.
Vereistes
Matrieksertifikaat
Ongeveer 3 jaar se administratiewe of boekhou-ervaring.
Vaardigheid in Microsoft Office (Word, Excel, Outlook).
Ervaring met Sage Accounting en Sage Payroll.
Sterk organisatoriese vaardighede, betroubaarheid en aandag aan detail.
Uitstekende verbale en geskrewe kommunikasie in Afrikaans en Engels.
