Office Administrator

Our client is looking for a reliable and self-motivated Office Administrator to efficiently manage administrative, financial, and regulatory processes within our organisation. This role requires strong organisational skills, attention to detail, and a solid understanding of office administration, bookkeeping, and statutory compliance.

📍 Location: Hatfield, Pretoria
💰 Salary: R12,500 – R18,000 (depending on experience)

🕐 Working Hours: 07:30 – 16:30
👉 Start Date: 1 September 2025

Key Responsibilities

  • Effective day-to-day administration of the practice
  • Handling telephone enquiries and follow-ups
  • Statutory submissions, registrations, and renewals
  • Insurance and vehicle registration renewals
  • Order placements and follow-up
  • Invoicing (rental and clients) and email follow-ups
  • Bi-weekly payroll for 3 staff members
  • Product research and general procurement admin
  • Handling client and municipal submission documentation
  • Design studio time tracking and utility usage logs
  • Liaising with the external accountant

📅 From 1 March 2026:

  • Monthly Intercede payroll processing
  • VAT submissions
  • General accounting for 3 entities
  • Coordination with auditors
  • Capturing slips in Sage
  • Debtors and creditors bookkeeping

Qualifications

  • BCom Degree/ Diploma in Office Administration / Personal Assistant qualification or course

Job Requirements

  • Proficient Microsoft Office (Excel, Word, and Office Suite)
  • Sage experience is essential
  • Advantageous: Experience in accounting, including preparing trial balances and general administrative tasks, as well as sending data to the payroll team
  • Knowledge of VAT and UIF processes
  • Experience with the Intercede payroll system
  • Strong general administrative skills

Hoofverantwoordelikhede

  • Effektiewe daaglikse administrasie van die praktyk
  • Hantering van telefoniese navrae en opvolgwerk
  • Statutêre indienings, registrasies en hernuwings
  • Hernuwing van versekering en motorregistrasies
  • Plasing van bestellings en opvolging daarvan
  • Fakturering (huur en kliënte) en opvolg van e-posse
  • Tweeweeklikse salarisverwerking vir 3 werknemers
  • Produknavorsing en algemene administratiewe aankope
  • Hantering van kliënte- en munisipale indieningsdokumentasie
  • Opvolg van ontwerp studio tydstate en nutsverbruik
  • Skakeling met die eksterne boekhouer

📅 Vanaf 1 Maart 2026:

  • Maandelikse Intercede-salarisverwerking
  • BTW-indienings
  • Algemene boekhouding vir 3 entiteite
  • Samewerking met ouditeurs
  • Invoer van strokies in Sage
  • Boekhouding van debiteure en krediteure

Kwalifikasies

  • BCom-graad / Diploma in Kantooradministrasie / Persoonlike Assistent kwalifikasie of kursus

Posvereistes

  • Vaardig in Microsoft Office (Excel, Word en Office Suite)
  • Sage-ervaring is noodsaaklik.
  • Voordelig: Ervaring in boekhouding, insluitend die opstel van "trial balances" en algemene administratiewe take, asook die stuur van data aan die payroll-span.
  • Kennis van BTW en UIF-prosesse.
  • Ervaring met die payroll-stelsel Intercede.
  • Sterk algemene administratiewe vaardighede.
